Situation:
Global manufacturing organization with 17,000 employees has expiring outsourcing contracts for HRMS Hosting and Maintenance, Benefits Administration and Payroll services and a desire to look at the current market alternatives and bundling these services together with one provider.
Solution:
- Worked with a cross-functional team to rapidly develop an HR Delivery Strategy, map out the market and vendor alternatives and create selection criteria for choosing their vendor(s).
- Developed a comprehensive Request for Proposal that was issued via HighRoads to a variety of best-in-breed as well as large market comprehensive HRO vendors.
- Assisted organization in the rapid evaluation and selection of the vendors.
- Provided analysis of alternatives, including business case analysis and cost analysis.
- Facilitated team to create a consensus recommendation on vendors.
- Provided support and guidance to client as they entered the contract negotiation.

Contract and Service Level Agreement Negotiation
Situation:
Large, multi-national high tech manufacturing organization is switching benefits administration providers. After selection of new vendor organization the client needed to negotiate detailed service level agreements, performance guarantees and contract terms with the chosen vendor.
Solution:
- Worked with client to review benefits administration outsourcing industry standards for Service Level Agreements and Performance Guarantees.
- Facilitated discussion with client HR, legal, shared services, procurement, information technology and quality control / internal audit functions to insure that high priority client requirements were identified and articulated to the chosen vendor.
- Translated the high priority requirements into Service Level Agreements and Performance Measures that were provided to the chosen vendor.
- Facilitated the negotiation between the client and the chosen vendor to work through contract terms and conditions as well as service level agreements to insure that they are mutually beneficial.

Implementation Risk Analysis and Mitigation Strategy
Situation:
Large, multi-national chemical company spun off an 8,200 employee unit that was required to deliver HR services independently upon separation from the original parent company. Outsourced service model was not appropriate for the much smaller company. As a result, contracts had to be renegotiated.
Solution:
- Conducted interviews with client and provider key stakeholders and reviewed governance tools, fees, contract, performance standards and scope of services.
- Assessed risk of deconversion from current providers and implementation and ongoing administration services of new administration providers.
- Renegotiated deconversion scope, fees and timing with the current benefit administration service provider for a savings of 25% of fees.
- Ensured alignment of all team roles, responsibilities, and expectations which included resource and succession planning.
- Established project governance and reporting process that would effectively manage and monitor the relationship, performance and risks throughout the overall engagement.
- Revised performance standards and metrics, fees, scope of services and contract terms.
- Led the negotiation of the contract with the new benefit administration service provider.

Benefits Vendor Evaluation and Selection
Situation:
Mid-sized railway client was interested in evaluating the possibility of transitioning its outsourced services to a new vendor prior to the end date of their current contract. We led the RFP process by using key factors we have established in measuring and evaluating Benefit Administration Service suppliers.
Solution:
- Worked with client to ensure there was a thorough understanding of their business strategy and strategic drivers along with how the HR function intends to support this strategy on a go-forward basis.
- Aligned our evaluation criteria with the client’s business strategy and benefit administration service expectations.
- Advised our client regarding its options, the proposals submitted by various vendors, and our evaluation of the alignment between each bidder and the client’s objectives.
- Recommended an ongoing project governance structure and process for their relationship with their new vendor.
